Privacy Policy

Cedar Mist Resources (the "Service") is operated by Cedar Mist Labs, a sole proprietorship of Leslie Fletcher based in British Columbia, Canada ("we," "us," or "our"). This policy explains what personal information we collect, how we use and share it, and your rights. We handle personal information in accordance with applicable Canadian privacy law, including the BC Personal Information Protection Act (PIPA) and the federal PIPEDA, and we aim to honour comparable rights for users elsewhere.
By using the Service you consent to the practices described here.
1. Who this applies to
The Service is for adults (18+) — parents, guardians, and educators. We do not knowingly allow children to create accounts or provide information to us directly. Information about a child may appear in a Persona (see Section 3), but it is entered by an adult account holder, not collected from the child.
2. Information we collect
- Account information — your name, email address, password (stored only as a secure hash), and account settings.
- Persona and resource inputs — profiles you create to tailor resources, which may include a child's name or nickname, age, grade level, reading level, interests, and free-text notes; and inputs such as word lists. Provide only the minimum needed; a nickname is preferable to a full legal name.
- Generated resources — the worksheets and other resources you create and choose to save.
- Payment information — handled by Stripe. We do not store your full card number; we receive limited billing details and subscription status from Stripe.
- Usage and device data — log data such as IP address, browser/user-agent, and actions in the Service, used for security, debugging, and improving the Service.
- Cookies and similar technologies — see Section 7.
3. Children's information in Personas
Personas may contain information about a child. We treat this as sensitive:
- It is provided by the adult account holder, who confirms they are the child's parent/guardian or are authorized to provide it.
- We use it only to generate the resources you request and to operate the Service. We do not sell children's information.
- You can view, edit, or delete a Persona at any time, and it is deleted when you delete your account.
- The Service is not intended for maintaining school or classroom student records.
4. How we use information
We use personal information to: provide and operate the Service; generate the resources you request (including via the AI provider in Section 5); process payments and manage subscriptions; authenticate you and secure the Service; communicate with you (e.g. account, billing, and service emails); comply with legal obligations; and improve the Service.
5. AI processing of your inputs
To generate certain resources, we send your inputs (such as word lists and Persona context) to our AI provider, Anthropic (the Claude API). Anthropic processes this content to return the generated resource. Under the standard Anthropic API terms, your inputs and outputs are not used to train Anthropic's models. This processing may occur on servers located outside Canada (see Section 8).
6. Service providers we share information with
We share personal information only with providers that help us operate the Service, under contracts that limit their use of it:
- Stripe — payment processing and subscription management.
- Anthropic — AI generation (see Section 5).
- Neon — database hosting.
- Hetzner — application hosting.
- Email delivery provider — sending account, password-reset, and service emails. (Confirm and name the provider before publishing.)
- Analytics provider, if enabled — measuring and improving the Service. (Name the provider, or remove this line if not used.)
We do not sell your personal information.
7. Cookies and consent
We use cookies and similar technologies to operate the Service and, with your consent, to measure and improve it. We do not use cookies for advertising.
- Cookies that are strictly necessary to run the Service (for example, to keep you signed in) are always active.
- We show a cookie consent banner and load analytics cookies (Google Analytics) only after you accept.
- You can control cookies through your browser settings; blocking some cookies may affect how the Service works.
8. International data transfers
We are based in Canada, and our providers may store or process personal information in other countries (for example, the United States or the European Union, depending on the provider). Where information is transferred across borders, it may be subject to the laws of those countries, and we take reasonable steps to ensure it remains protected.
9. Data retention
We keep personal information for as long as your account is active or as needed to provide the Service, comply with legal and tax obligations, resolve disputes, and enforce our agreements. When you delete your account, we delete or de-identify your personal information — including Personas — within a reasonable period, except where we are required to retain certain records (for example, billing records).
10. Security
We use reasonable technical and organizational safeguards (such as encryption in transit, hashed passwords, and access controls) to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Your rights
Subject to applicable law, you may: access the personal information we hold about you; correct inaccurate information; request deletion of your account and associated information; withdraw consent (which may limit your ability to use the Service); and obtain a copy of your data (account information, Personas, word lists, and saved resources). To exercise these rights, contact privacy@cedarmistresources.com. You also have the right to complain to a privacy regulator (in Canada, the Office of the Information and Privacy Commissioner for British Columbia, or the Office of the Privacy Commissioner of Canada).
12. Changes to this policy
We may update this policy from time to time. If we make material changes, we will provide reasonable notice (for example by email or in the Service). The "Last updated" date reflects the latest version.
